Connect OneDrive

  • Your workspace needs a Business or Max license
  • A Microsoft 365 integration must be set up in the workspace (by an administrator under Settings, Tools)
  • You must have connected your Microsoft 365 account to 9brains

  1. Go to Settings, Data sources
  2. Click ”+ Data source”, then “Connect OneDrive”
  3. If you are not yet connected to Microsoft 365:
    • Click “Connect with Microsoft 365”
    • Sign in via the Microsoft popup and grant the access permissions
    • The popup closes automatically, then click “Check again”
  4. Once the status shows “Microsoft 365 connected” (green check), click “Activate OneDrive”
  5. The initial indexing starts automatically

  • All personal files in your OneDrive
  • Subfolders are searched recursively
  • Linked SharePoint files are not indexed, those are provided through a separate SharePoint data source

After the initial indexing, changes are detected automatically:

  • New files are indexed
  • Changed files are re-indexed
  • Deleted files are removed from the index
  • Renamed or moved files are updated correctly

OneDrive is connected via webhook, changes are typically detected immediately and processed via delta sync. In addition, a full reconciliation runs every 60 minutes. You can also trigger the sync manually at any time.


After indexing, the files are automatically available to the AI. You do not need to do anything special, just ask questions:

“What does my project plan say?”

“Summarize the key points from the draft contract.”

“Is there information about the delivery terms in my documents?”

The AI searches your OneDrive files and provides answers with source references. Through the source reference you can open the original file directly in OneDrive.


  • Your OneDrive data source is visible only to you
  • Other users and administrators cannot view your file listings
  • The connection uses your personal Microsoft 365 account, 9brains only has access to files you can see yourself

Click on your OneDrive data source to open the detail view:

  • File list: all indexed files with status, size, and last modification
  • Statistics: number of indexed, pending, and failed files
  • Start sync: trigger a manual sync
  1. Open the detail view of the data source
  2. Scroll down to the Danger zone
  3. Click “Delete data source”

When deleting, all indexed data is removed. The original files in OneDrive remain unchanged.
